Reporting forms

The easiest way to feed the information into the database of bird ringing is to fill in the online form. All information on bird ringing must be loaded into the database no later than February in the year following the reporting year.
 

Details of graphs are presented below.
 

Dear coordinators! When filling in the online form before uploading the photos be sure to specify the directory where the photos will be stored on the server. Best of all, if the directory is named for the coordinator and the year for which the report is provided (in Latin transliteration and no spaces, for example: Ivanov_2011, Ivanov-2011 or Ivanov2011).
Please note the following:
The coordinates must be inputed in decimal degrees with point as a delimiter;
Alphanumeric code rings must be in Latin too, between letters and numbers in the code are put dashes regardless of whether the ring code contains them or not;
Once the data is inputed, they must be approved – it is available only for coordinators and administrators.

 

If filling the online form is not possible for some reason, please fill in forms in MS Excel format.
 

The ringing form and the recovery form for Russian Raptor Research and Conservation Network are available here to download in Microsoft Excel format (*.xls).

Forms have to be filled in by coordinators at the end of every year. The completed forms are uploaded on the website no later than February of the next year.

The completed form in MS Excel format is called by the name of the coordinator and the year for which it is filled in (in Latin letters and no spaces, for example: Ivanov_2011, Ivanov-2011 or Ivanov2011). Name of the directory with photos referred to in the database records for that year should be the same. Directory and the database file in MS Excel format are placed in a ZIP or RAR and uploaded to the site through a web interface or via ftp. Files that are smaller than 8 MB are uploaded through the web interface, while files of any size may be uploaded via ftp-server. Contact the coordinator of the program to get the login and password that are necessary to upload the archive to ftp.

The ringing form is available in three different types of completeness: 1 – full form, which includes information on various marks (wing tags, transmitters, etc.) and measurements of birds, 2 – without measurements of birds, 3 – no information on various marks with information only about the rings. Ringers can use any of these three forms depending on the completeness of the information they collect during the ringing of birds.

The full transcript of the fields to the database is as follows.
The number of the bird ringed is recorded in the column «Number of record».
Russian and Latin names of species in accordance with the attached list in the table are written in columns «Russian name» and «Latin name».
In the column «Age class» the age group is noted: «adult», «subadult», «juvenile», or «pullus». If the class of age of the bird is not defined, choose a record «no data».
In the column «Age» from the list select the age range corresponding to the marked bird. If the age of the bird is not defined, choose «no data».
In the column «Sex» sex of bird is indicated: «female», or «male». If sex of the bird is not defined, select “sex is not defined.”
If the species is characterized by phenotypic variations, or morphs phenotype of the bird ringed is noted in the column «Fenotype». For species with a strong morphism, you can record the «dark morph», «pale morph» or «intermediate morph».
In the column «Date» the date of ringing or recovery is indicated.
In the column «Year» a year of ringing is recorded.
In the column «Number of account route» the number of accounting route is recorded, when the ringing was carried out within the census of birds on a permanent route.
In the column «GPS» the name of the point, which will identify it at the transferring of information to the navigator from the database and back to the database from the navigator is recorded.
In the column «Geographic coordinates» (N – northern latitude, E – east longitude) coordinates of the nest are recorded, which are transferred to a GIS-project, but this information is available for internal use only.
The coordinates are fed in decimal degrees with point as a delimiter, for example: 55.346756
In the column «Country» country where the bird was ringed is indicated.
In the column «Region» administrative region (Oblast, Kray, Republic) where the bird was ringed is indicated.
In the column «Code of breeding territory» alphanumeric code of the breeding territory, where the bird was ringed, is recorded. Under the programme of RRRCN the following codes of breeding territories are adopted: AC-RA01 or ACL-SAM01 – two or three first letters indicate the bird species (for example, AC – Aquila chrysaetos, ACL – Aquila clanga), two or three letters after the hyphen indicate the region (for example, RA – Altai Republic, SAM – Samara region), then they are followed by the number of breeding territory in the database without spaces or dashes. If the chicks are ringed in the breeding territory, which is not involved in the monitoring program, the field is left blank.
In the column «Code of nest» the nest number at the breeding territory, where the bird is ringed, is recorded. The number of nest is recorded by a dash after the code of breeding territory: AC-RA01-1 and ACL-SAM01-2. If the chicks are ringed in the breeding territory, which is not involved in the monitoring program, the field is left blank.
The column «The information on rings on legs» contains subcolumns «Right leg» and «Left leg», which specify the characteristics of the ring for each of the legs in subcolumns: «Ring’s number» – number of the ring; «Identification name of ring» – the name of the organization, responsible for the ringing; «Ring’s material» – ring material (steel, aluminum or plastic); «Ring’s color» – the color of the ring, in accordance with the established scheme. If two different rings are fitted to one leg, their numbers are recorded in the subcolumn «Ring’s number» by a slash, for example, A-345/AB-001. The information about the material of the ring (aluminum/plastic), abbreviation and color (green/white or white-green/red-blue for two-color rings) is recorded alike.
The column «The information on wing tags» contains subcolumns «Right wing» and «Left wing» which specify the characteristics of tags for each of the wings in subcolumns «Number of tag» – the tag number and «Color of tag» – tag color.
The column «PIT» contains subcolumns: «Place of PIT implantation», which contains information about the site of implantation of fitting of a microchip (keel, femur, ring on the left leg, etc.); «PIT manufacturer», which contains information about the manufacturer of the microchip; «PIT number», where the identification number of the microchip is noted.
The column «Transmitter» contains subcolumns: «Location of transmitter on the body», which contains information on the place of the transmitter fitting (back, tarsus of the left leg, tail, etc.); «Transmitter manufacturer», which contains information about the manufacturer of the transmitter; «Transmitter number», in which the identification number of the transmitter is recorded; «Frequency of transmitter», which indicates the frequency of the transmitter.
The column «Other marks» contains information about other marks, which are not provided by standard protocols of the bird ringing.
Full database also contains information about the bird and its size.
The column «Fatness» contains information on the nutritional status of chicks. “Good” – a well-palpable layer of fat on the keel, and the volume of the breast muscles is almost equal to the volume of internal cavity, “satisfactory” – the fat layer on the keel is slightly detectable, the volume of the breast muscles of the internal cavity is less, but no signs of exhaustion, “exhaustion” – fat layer is absent and is not detectable on the keel, the volume of the breast muscles is less than the internal cavity by 3-4 times, the femur and wing muscles are dry; “lethal exhaustion” – place of articulation of bone are palpated through the breast muscles and hollows are observed in the area of keel, tarsus bones covered with skin, eyes are often half opened, the chick can not sit, etc.
The column «Parasites» contains information on parasites, mainly flies, lice and ticks observed on the covers of chick. “Numerous” – a dense layer of parasites covered all ear, axillary, and vent spaces of the chick’s body, some parasites are found in the downy plumage throughout the body, “medium” – parasites are only in the axillary and vent spaces and do not form the dense clusters, “few” – the individual parasites in the axillary space, “no parasites” – parasites were not found.

The column «Recovery» indicates the character of the reporting form – «Ringing» or «Recovery». If there is recovery, fill in the «Notes on recovery». Select from the available list one of the positions: «Live bird in the nature – observation», «Live bird in the nature – catching», «Live bird in captivity», «Injured bird», «Dead bird» and «Character of recovery is unknown». The latter is indicated if the ring obtained from third parties, and it is impossible to know what is happened with the bird.
If the column «Notes on recovery» indicates the death of the bird, it is necessary to fill in the following column – «Information about dead».
In the column «Directory» the name of the directory containing photos of the birds marked. The directory name should consist of the ringer’s name and year for which the report is submitted (in Latin letters without spaces), for example: Ivanov_2011, Ivanov-2011, Ivanov2011.
The column «Photos» contains a list of photos of the bird associated with the database. The names of photos should be similar to the nest code or the ring number, and if there are several photos for a record, you have to add a figure or letter in the file name, for example: AC-RA01-1A.jpg, AC-RA01-1B.jpg, or AB- 069-1.jpg, AB-069-2.jpg.
The column «Author» contains full name of the researcher who carried out the ringing or reported the recovery.
The column «E-mail» indicates e-mail of the researcher who carried out the ringing or or reported the recovery.
In the column «Notes» the researcher note any other information that may be important or useful, such as individual characteristics of the ringed bird or its anatomical anomalies, information on the recovery or bird’s death, if they do not fit into any item of the menu in the respective columns, etc.
